Edit a submitted order
Understand staff corrections and customer editing access before changing a submitted order.
Order editing helps your team correct a quantity, adjust an actual weight, or handle an agreed change before fulfillment. Keep the customer's submitted request and the amount you intend to collect consistent.
Staff corrections
- Open the form's Responses area.
- Find the intended order by its number or customer details.
- Open the response and use its edit action when available.
- Change only the agreed products, quantities, or customer details.
- Save and reopen the record to check the result.
If you cannot edit, check your collaborator role. A viewer can read responses but cannot perform editor actions.
Customer editing access
Customer access to change a submission is separate from staff editing. The respondent notification flow offers an option to let respondents edit their response. Review that choice when configuring confirmation emails.
Explain the deadline for requesting a change in the confirmation message. An instruction to contact the business after a cutoff helps your team assess whether preparation or dispatch has already started.
Check the consequences
After changing an order, review:
| Area | What to check |
|---|---|
| Product summary | The intended items and options remain together |
| Amount | Quantity, fees, discounts, and the final due amount still agree |
| Payment | Whether the customer has already paid and whether any adjustment needs handling |
| Preparation and packing | Reports and printed lists represent the revised order |
| Customer communication | The customer knows which version you will fulfill |
Editing a response does not mean a payment provider has refunded or collected the difference. Handle payment adjustments through the relevant provider workflow and keep a clear order record.
Avoid conflicting versions
Reprint any packing list affected by the change. Give staff one current version to work from, particularly when a customer has also sent a WhatsApp request. Continue with production and packing.
